We are honored to invite you to join us as a partner at the 2025 Texas Regional Symposium. Following the success of our previous Regional Symposia in 2016, 2018, and 2023, we are excited to host another event in the Lone Star State with the enthusiastic support of our host clubs.
Below are the details for exhibitors, along with links to secure your booth space and book hotel accommodations.
Join us for Texas Regional Symposium 2025
Attendance
Exhibitors will have the opportunity to network with 250+ dentists and specialists in a collaborative and interactive atmosphere. With participation, you will have access to all of our educational programs and social functions, including a Welcome Reception Thursday night and dinner on Friday evening. This will give you ample time to further develop both professional and social relationships with all attendees.
Exhibitor Area
The exhibitor area will be located in the pre-function space outside the ballroom entrance, providing ample opportunities to connect with attendees.
Exhibitors Receive:
A spreadsheet of registered attendees will be distributed before Friday, April 10, 2025.
The opportunity to strengthen relationships and showcase your products and services to a targeted audience.
Exhibitor Guidelines
Exhibitors will be provided with one display table and a chair. Please note the following guidelines:
Size Limitations: To ensure fairness to all exhibitors, we do not permit eight-foot or ten-foot backdrops or displays that do not fit within the designated table space. All exhibit paraphernalia or displays larger than 4.5 feet must be positioned against the wall. This includes banner stands, kiosks, literature displays, plasma screens, and other similar items.
AV Equipment
If you require internet access, monitors, power cords, or any other AV equipment, arrangements must be made in advance with the hotel’s preferred audio-visual provider at your own expense.

Exhibitor Opportunities
Five sponsorship levels are available for this meeting. Please note, each sponsorship includes all meals for the company representative allowed per sponsorship level. Additional company representatives are welcome to attend at a cost of $500 per person
DIAMOND SPONSORSHIP: $15,000
Includes two tables, three company representatives, top choice of location in the exhibitor area, a full-page digital ad in the program, a five minute “Tell Your Story” video, (provided by your company) sent to all attendees.
PLATINUM SPONSORSHIP: $10,000
Includes two tables, two company representatives, top choice of location in the exhibitor area, a full-page digital ad in the program, a three minute “Tell Your Story” video (provided by your company) sent to all attendees.
GOLD SPONSORSHIP: $5,000
Includes one table, one company representatives, half-page ad in the program, recognition in the pre-meeting email.
Cancellation Policy
Non-Refundable Fees: The booth fee is non-refundable, and payment is due in full upon registration.
Booth Space Policy: Once assigned and confirmed, exhibit space is non-transferable. Any booths not occupied at the time of the exhibit opening may be repossessed and reassigned by the 2025 Texas Regional Symposium at its discretion.
Travel Insurance: We strongly recommend obtaining travel insurance to cover your hotel, airfare, and exhibitor costs in case unforeseen circumstances (such as personal, medical, weather, or travel issues) affect your ability to attend. The cancellation policy applies regardless of the reason for cancellation.
